Skovgaard Systems books meetings for UK businesses by email. That means we process a modest amount of business contact data. This page says what, why, and what you can do about it - in plain words, because that is how we write everything.

Who we are

If you received an email from us

We process: your name, your role, your business email address, and public information about your company. It comes from public sources - mainly the UK Companies House register and your company's own website. We use it to send a small number of short, relevant emails about work we think matters to your business.

Our legal basis is legitimate interest in business-to-business marketing. We keep volume low, we write like people, and we make stopping effortless:

If you book a call with us

The booking page asks for your name, company, email and phone number. We use them for exactly one thing: holding the call you booked and the conversation around it.

If you are a client

Your client list, exclusions and campaign data are used only to run your campaign, kept confidential, and deleted when our agreement ends (except the suppression list, as above). When a meeting is booked we pass you the person's name, role, company and reply, as our service terms describe.

Where the data lives

A few service providers do parts of the work for us: Google Workspace and Cloudflare run our systems, Instantly sends the emails, MillionVerifier checks an address works before anything is sent to it, Anthropic's Claude helps sort replies, and Twilio carries phone calls. They process data only on our instructions, in the EU, UK and US, under standard data-protection safeguards. We do not sell personal data, and we share it with no one else.

Your rights

You can ask what we hold about you, ask for it to be corrected or deleted, or object to the processing altogether. Email magnus@skovgaardsystems.com and it will be handled by the person who actually runs the systems - there is only one of us. You can also complain to the Danish Data Protection Agency (Datatilsynet) or, in the UK, the ICO.
